What is Office 365?
“Office 365” refers to subscription plans that include access to Office applications plus other productivity services that are enabled over the Internet (cloud services). Office 365 includes plans for use at home and for business. Office 365 plans for business include services such as Skype for Business web conferencing and Exchange Online hosted email for business and additional online storage with OneDrive for Business.
How to Migrate IMAP Account to Office 365 Business
Step 1: Subscribe Office 365 Business Plan
To migrate your IMAP email account to Office 365, you need to choose and subscribe the Office 365 plan that suits your need.
Step 2: Provision of Office 365
You need to login and verify the Office 365 subscription. When you first sign in with the password given, the system will ask you to change the password.
Step 3: Domain Name Verification and DNS Setup
You need to login, add in a domain and verify the ownership of the added domain by adding a new TXT record in the Nameserver. You need to setup your online services either using “Setup my online services for me” (Recommended) or “I’ll manage my own DNS records”
We choose “I’ll manage my own DNS records” as our Nameservers are with dnsmadeasy.com.
You can update the other DNS setting later as you need to migrate all the current emails from your IMAP account to Office 365.
Step 4: Create Email Accounts and Shared Mailbox
If the user based is from 5-25 email accounts, we propose to create the email account under office365 portal manually.
You can add a new user account under Users -> Active Users section
You can add a new shared mailbox under Groups -> Shared Mailbox section
Prior to the migration, please send the new email password of office365 to the users. Make an announcement on the date of migration so users are informed on the migration date.
Step 5: Migration
You need to reset all the IMAP email account password before you start the migration.
Under Users -> Data Migration section, you need to select “Other email source”, select “IMAP” and enter the IMAP setting. After that, you need to select the users to start migrating email messages.
The screen will show a message “Your Migration is in progress. You can navigate away in the meantime”
The status show starting -> validating -> syncing -> synced
Please be informed that the migration of mailbox is very slow. It took us 24 hours or more to migrate a 20 GB mailbox from a cpanel server to office365.
After the migration is done, you need to point the MX record to Microsoft Office 365 and update the DNS setting by adding the DNS records at your DNS hosting provider. Click Verify to verify all the DNS setting.
Congratulations! Your domain and email addresses are all setups.
